Cast & Crew guide — the project's crew and cast

Cast & Crew is the list of the people on the project: crew and cast. The page opens on the

For: production managers, unit and location managers, assistant directors.

Where: project menu → Scheduling → Cast & Crew.

As of: October 2026. Anything that does not exist yet is listed in the last section, “What's coming”.

1. What it is for

Cast & Crew is the list of the people on the project: crew and cast. The page opens on the

faces board (large photos, cast first, then departments); each person has a card with tabs:

Info, Availability, Documents, Contract (production), Shoot. A badge shows where each person stands:

To confirm, Invited, Confirmed, Signed contract, Complete file.

These cards are used everywhere else. The shooting schedule, the call sheet and its sending, and

“My shoot” all rely on them. You enter a person only once, here.

Three tools look alike. Here is what sets them apart:

A Cast & Crew card grants no access to Kinelux. For a person to sign in, you must

invite them (section 4). Many people never have an account: they still receive

their call sheet by email.

  • Tool — Question — Example
  • Casting — Who will play the part? (before hiring) — Three actresses in the running for “Léa”
  • Cast & Crew — Who works on the film? (the cards) — Marie Dupont, actress, plays Léa
  • Project team (access) — Who can open what in Kinelux? — Marie sees her scenes and her call time

2. Adding members

Adding a person manually

SFX/VFX, Post-Production, Cast;

Director”, “DoP”…). You can also type freely;

To edit a card: pencil icon (list view) or ⋮ button (grid view).

To delete it: trash icon (list view), then confirm.

Adding from the production address book

The From address book button appears if you are a member of the organization that owns the project.

It copies the name, position, department and work contact details. The rate, the

contract and the notes from the address book are not copied. A person already on the team is flagged.

Creating a role from a character

Import → From characters creates an actor card linked to the character. The name stays empty

(“Actor to be cast”): you enter the actor afterwards. A character that is already cast is greyed out.

  • Click Add.
  • Choose Cast (actor) or Crew (crew member).
  • Fill in:
  • First name and Name (required);
  • Department: Production, Direction, Camera, Sound, Art Department, Costume, Hair/Makeup,
  • Role / Position (required): suggestions appear as you type (“1st Assistant
  • Character (actors only): pick it from the list of the project's characters;
  • Email and Phone;
  • the contact sharing checkbox (see below);
  • Availability status: Confirmed, Pending, To review, Unavailable;
  • Daily rate (€).
  • Click Save.
  • Search by name or position.
  • Filters: type (Cast / Crew), department, availability.
  • Views: list or grid. The calendar view shows “coming soon”: it is not built yet.
  • At the top: total, number of Cast, of Crew, of confirmed.

3. Importing actors from Casting

Once casting is done, you move the selected actors into Cast & Crew.

Good to know:

“Confirmed”. The others arrive as “To review”.

The actor ↔ character link

The character comes from the asset library. Linking the card to the character is what allows:

To link or change it: open the card → Character field.

  • Import → From talent.
  • The list shows the actors from the project's Casting, with the role they are up for.
  • Click an actor: their card is created (name, photo, role, linked character).
  • They are then greyed out as “Already on the team”.
  • Import actors with the “Confirmed” status. A confirmed actor arrives with the availability
  • The production only receives an actor's contact details at the “Confirmed” status in Casting.
  • An actor who is a candidate for two roles appears twice (one row per role).
  • The character is linked only if it exists in the project's asset library.
  • Without access to Casting, the tab shows “Casting profiles are restricted to the production”.
  • The import is manual: setting “Confirmed” in Casting does not create the card on its own yet.
  • the shooting schedule to show the actor next to their role;
  • the call sheet to put the actor on the right line, with their call time;
  • the invited actor to see their scenes.

4. Inviting people to the project

Opening the panel

In Cast & Crew, click Project team (also available from the editor's Share

button). Only the owner and the team managers can change access. Other

members see “My access” there.

Inviting someone

The person accepts or declines. They receive an email. If they already have an account, the invitation

also appears in their notifications. Once accepted, their account is linked to their Cast & Crew card.

The panel shows the “Invitations (n pending)” section. Resend creates a new link (the old one

no longer works). Remove cancels the invitation. After 14 days, the invitation becomes “Expired”:

resend it.

Tip: the “Cast & Crew cards without an account” section lists the people to invite in one click.

6. Frequently asked questions

Do you need an account to receive the call sheet?

No. A card with an email is enough. The person receives a personal link.

I added a card, but the person sees nothing in Kinelux.

That is expected: a card grants no access. Invite them from Project team.

The person already has an account. Are they added straight away?

No. They always receive an invitation and must accept it.

My invitation has expired.

In “Invitations (n pending)”, click Resend: new link, 14 more days.

Why can't I see a colleague's phone number?

They have not agreed to share it, or the directory setting does not open it to you. Ask the

production.

Why can't I see the rates?

7. The card in detail (since October 2026)

The faces board and the statuses

Under the photo, the production sees “n missing” (what is still to be obtained) and “n conflict(s)” (shooting

days during an unavailability).

What is missing

The “Missing: …” banner lists: email, phone, emergency contact, sizes (actors), the **expected

documents** (ID, bank details, social security; the signed contract as soon as a rate is set; the minor's

file; the work permit if one is required) and the items on the minor checklist.

Documents

Documents tab: upload a PDF or a photo (20 MB max). Only the team with Edit and the person

themselves can read them. The person can also upload their own documents from “My shoot →

My card → My documents”; you see them arrive marked “uploaded by the person”.

Minors

  • To confirm: card created, person not yet confirmed.
  • Invited: the person has a linked Kinelux account (section 4).
  • Confirmed: availability “Confirmed” (Availability tab).
  • Signed contract: “Signed on” date set, or signed contract uploaded in Documents.
  • Complete file: confirmed, signed, and nothing is missing any more.
