For 1st and 2nd ADs, location managers and assistant location managers: build the shooting schedule, prepare and distribute the call sheets, keep the schedule up to date during the shoot.

1. Your role in Kinelux

The “1st assistant director / locations” access template gives you edit rights on the shooting schedule, the call sheets, the set and the extras, and read access to the script and the breakdown. You are the one who maintains the shooting schedule and the call sheets.

2. Build the shooting schedule

Details: Shooting schedule guide.

  • Open Shooting schedule: the script's scenes arrive in “Unscheduled scenes”, with their pages, locations and characters.
  • “Add a day”, then drag the scenes into the days (mouse, or long press on the handle with your finger).
  • Or “Group by location” (simple rule, no AI), or “Plan with AI”: scope, free-form request, extra days if needed, 1 to 3 proposals compared, preview before applying.
  • Watch each day's alerts: length, 11-hour rest, night → day switch, unavailable actor, holds.
  • Day off: tick “Shift the following days” to push back the rest of the schedule.

3. The day view

  • “Open the day”: running order with times (drag a strip to set its time, its edge to set its length), meal break suggested or fixed, moves between locations.
  • Calls calculated as on the call sheet: actors (call, hair & make-up, on set), departments (with the day's offset).
  • Map of the day and day PDF for scouting and the locations team.

4. Locations and logistics

  • Each location is an asset in the library: address, coordinates, access map (base camp, parking, catering, meeting point) and selected hospital, entered once and carried over to every call sheet.
  • Travel times between locations are estimated in the day (⋯ menu → “Times, locations and moves”).

5. Call sheets

Details: Call sheet guide.

  • Generate a day's call sheet from the schedule: scenes, times, actors, crew, locations, extras, weather and sun at the location.
  • Correct it on the spot; anything missing is created on the spot (location, crew member) and then linked.
  • Send through personal links, now or at a scheduled time; track delivered / opened / confirmed.
  • If the schedule changes afterwards, the call sheet offers to “Apply” the changes; send a revised version.

6. During the shoot

  • The set feedback marks scenes “Shot”, “Started n/m” or “To reschedule”; “Review and reschedule” suggests a day, “Reschedule with AI” spreads them all.
  • Log the actual times (crew call, meals, wrap) in the iPhone app: Shoot screen → “Actual times” → “Now”. They feed the production report.
  • The day's extras are checked in in the app (QR code on their call), offline included.

7. On iPhone

The app keeps the call sheets for the coming days offline, with the day's running order, directions and a call button for the hospital. The Shoot screen gives the actual times and the extras check-in. Menu Account → Help for these guides.

8. Frequently asked questions

  • An actor's call time is empty? Link their Cast & Crew card to the character.
